Getting started

How quickly can we get set up?

Most small teams are up and running the same day. Create your workspace, set policies, and invite your team in under an hour.

Do you offer a free trial? Do I need a credit card?

Yes - you can start a free trial without a credit card and upgrade when you're ready.

Can I invite my whole team?

Yes. Invite Admins, Managers, and Employees and control access by role.

Do you provide onboarding support?

Yes. Book a walkthrough and we'll help you map your workflows. We typically reply within 1 business day.

Pricing

Is pricing per user?

No. Zotrack uses simple flat-fee pricing designed for small teams. See our pricing for details.

Can I cancel anytime?

Yes. You can cancel anytime, and you can export your data.

Invoicing

Can I create quotes and convert them into invoices?

Yes. Create quotes and convert them into invoices when approved.

Do invoices support tax/VAT?

Yes. You can add tax/VAT values when creating invoices.

Can I add my company branding to invoice PDFs?

Yes. Add your logo and business details so PDFs look professional.

Do you support online payments or automatic reminders?

Not yet. You can download PDFs, send manually, and track invoice status and payments inside Zotrack.

Expenses

Can employees attach receipts?

Yes. Employees can upload receipts with expenses to keep everything audit-ready.

Can managers approve or reject expenses?

Yes. Approvals are one click, with clear status history.

Can we track expenses by project or client?

Yes. Track costs against projects/clients for better visibility.

Leave

Can employees request leave and managers approve it?

Yes. Employees request leave in seconds, managers approve/reject instantly.

Can we set leave policies (annual/sick/custom types)?

Yes. Configure leave types and rules based on your company policy.

Security

Who can see what?

Zotrack uses role-based access (Admin/Manager/Employee) to control visibility.

Can we export our data?

Yes. Export data (for example CSV) for reporting and backups.

Are you GDPR-ready?

Yes. Zotrack is built for business use; for most workspace data your company is the controller and Zotrack acts as a processor. • DPA available on request (email support@zotrack.com). • Maximum retention is 12 months. • Subprocessor list is available on request. • For export/delete requests: contact your workspace admin or email support@zotrack.com.
